As an Executive Assistant, you will be a trusted partner to the Group General Counsel and the Group Legal Leadership team, helping turn priorities into action. By managing projects, coordinating key activities, and supporting daily operations, you’ll enable the team to focus on advancing the company’s initiatives while working closely with senior leaders across the business.

What you will be doing:

  • Manage the calendar of the Group General Counsel, including making appointments and prioritizing sensitive matters.
  • Support the Group General Counsel in the preparation of presentations.
  • Track and manage expenses and travel arrangements for the Group General Counsel.
  • Coordinate team meetings and workshops, and document key decisions by taking notes in meetings as needed.
  • Support legal document management as needed.
  • Proactively make suggestions to improve current processes; lead and execute solutions to optimize organizational procedures, ensuring efficiency and increased productivity.
  • Work closely with the Group Paralegal and support effective communication.
  • Build connections across the organization and act as a liaison among stakeholder groups, ensuring effective communication.
  • Support and contribute to the Group Legal Leadership’s day-to-day activities.
  • Handle sensitive and confidential financial, legal, and institutional information with professionalism and discretion.
  • Participate in the development of Group Legal functions and related project work as needed.

What you need to succeed:

  • Bachelor’s degree in Business Administration or a related field; additional relevant experience may be considered in lieu of a degree.
  • 3–5+ years of experience in an executive support, coordination, or project management role, ideally in a dynamic, international environment or law firm.
  • Highly organized and comfortable managing multiple high-priority items simultaneously, with the ability to balance big-picture thinking and strong attention to detail.
  • Technically savvy, with strong proficiency in MS Office and web-based tools, and comfortable adapting to new systems and technologies.
  • Fluent in Finnish and English, both written and spoken, with excellent communication skills and the ability to explain complex matters clearly and consistently.
  • Agile, flexible, and resilient, with the ability to thrive in a fast-paced environment across multiple time zones and deal with ambiguity.
  • Strong collaborator with a genuine interest in building networks and relationships across a global organization, while also being comfortable working behind the scenes.
  • Business-oriented with a pragmatic, results-driven mindset, and the ability to think strategically while providing hands-on, tactical support.
  • Strong emotional intelligence, independent problem-solving skills, and the ability to handle sensitive and confidential information with professionalism and discretion.
  • Flexible to be present in the office as needed to support team members and guests.
  • Eagerness to take ownership of projects and responsibilities, driving personal and professional growth.
