We’re looking for an Executive Assistant to provide top-level administrative and operational support to senior executives. In this role, you’ll play a key part in managing schedules, coordinating communications, and driving strategic initiatives—all while ensuring efficiency and confidentiality.

What you will be doing:

Executive Support & Calendar Management

  • Manage complex executive calendars, scheduling meetings, travel, and key engagements to maximize efficiency.
  • Ensure alignment between executive priorities and daily operations.
  • Anticipate needs and provide proactive support.

Meeting Coordination & Facilitation

  • Plan and coordinate high-level meetings, ensuring agenda preparation, logistics, and timely follow-ups.
  • Capture key takeaways, track action items, and ensure follow-through.
  • Act as the primary liaison for internal and external stakeholders during meetings.

Communication & Liaison

  • Serve as the main point of contact between the executive and internal/external stakeholders.
  • Draft, proofread, and manage correspondence, presentations, and reports.
  • Ensure clear and timely information flow within the organization.

Strategic Support & Project Management

  • Support cross-functional initiatives and special projects.
  • Conduct research, compile data, and prepare strategic reports for decision-making.
  • Handle confidential information with discretion.

What you need to succeed:

  • Bachelor’s degree or higher in Business Administration, Management, or a related field.
  • 5+ years of experience in an executive support role, preferably within multinational organizations or consulting firms.
  • Proven track record in handling high-level executive support, project coordination, and stakeholder management.
  • Eagerness to take ownership of projects and responsibilities, driving personal and professional growth.
  • Language Proficiency: Fluent in English and Mandarin Chinese (spoken and written). Knowledge of German is a plus.
  • Organizational Skills: Exceptional ability to manage multiple priorities, stakeholders, and deadlines.
  • Problem-Solving: Strong analytical and decision-making skills with a proactive approach.
  • Communication: Excellent verbal and written communication skills, with experience in drafting reports, presentations, and professional correspondence.
  • Interpersonal Skills: Ability to engage with senior stakeholders and navigate cross-cultural environments.
  • Technology Proficiency: Strong command of Microsoft Office Suite (Excel, PowerPoint, Outlook) and familiarity with productivity tools.
  • Professionalism: High degree of discretion, integrity, and adaptability in handling confidential matters.
  • Advanced degree (e.g., MBA) or relevant certifications is a plus.
