JOB MISSION: 

  • To provide an efficient, professional, and welcoming reception service to visitors 
  • Provide support to other departments with administration tasks 

MAJOR ACCOUNTABILITIES: 

Reception, Deliveries & Post 

  • Provide a welcoming reception service to visitors and follow the booking in process required 
  • Ensure the Reception area is always clear and maintains a professional image of the New Balance brand 
  • Sign and manage the parcel deliveries for the office  
  • Ensure all parcels are moved promptly, reaching the correct person and department – this can be a large amount each day  
  • Answer and direct telephone calls 
  • Book taxis as requested and monitor usage versus invoicing 
  • Ensure anything being posted out is addressed and labelled correctly: 
  • Mail 
  • UPS 
  • Frank EU and International mail 
  • Complete forms for recorded/special items or UPS 
  • Order all UPS bags, airway bills, seals etc. 
  • Continuously improving processes to be more efficient 

Administration 

  • Provide support to other departments with administration tasks 
  • Ensure all third-party contractors sign confidentiality agreements, undertake their own risk assessments, and have their own insurance 
  • Assist with internal office moves 
  • Overall responsibility for access passes for all associates, contractors and visitors ensuring all associates have the correct security access 
  • Ensuring provision of office consumables – milk, tea, coffee, stationery, coffee machines, franking machine, business cards 
  • Raise and manage the purchase order process 
  • Co-ordination of sample sales, charity days, volunteering and other events as required 
  • Professional communication  
  • Provide support to other departments when required
