ABOUT THE TEAM

Our Finland & Baltics Sales Team is a dynamic duo dedicated to growing Columbia's presence in the region through close partnerships with leading sports and outdoor retailers.

The team operates from our cozy office and showroom, located in Espoo, just outside Helsinki. The exact address is Keilaranta 11, 02150 Espoo, Finland.

ABOUT THE POSITION

As an integral part of the team, you’ll manage administrative and sales support tasks to help streamline daily and seasonal operations and foster team collaboration. Working closely with your colleagues and their clients, and connecting with international colleagues across Europe, you will play a key role in maintaining a well-functioning, efficient, and welcoming office environment.

This is a part-time role with a 50% workload (20 hours per week). While we’d ideally like someone available from Tuesday to Thursday, we’re happy to explore other arrangements that work best for the right candidate.

HOW YOU’LL MAKE THE DIFFERENCE

Office Administration

  • Oversee daily office operations, including organizing supplies, managing post, and coordinating with external vendors.
  • Act as the go-to person for office maintenance, resolving facility-related issues (e.g., liaising with the landlord or scheduling repairs).
  • Assist with invoice processing, liaising with finance teams, and maintaining accurate administrative records.
  • Book travel and accommodations for team members and visitors, ensuring a smooth experience.
  • Maintain a welcoming and professional office environment, ready for both team and guest needs.

Sales Support

  • Prepare and manage Excel-based data for customers' master data files and sales orders, ensuring accuracy and compatibility with internal systems.
  • Assist the team in seasonal activities, such as unpacking and preparing product samples for showroom display or managing sample returns.
  • Occasionally coordinate with customers to ensure timely delivery of digital content for their platforms.

  • Detail-oriented with a strong ability to juggle multiple tasks and stakeholders effectively.
  • Customer-focused and solution-oriented, with a knack for creating a welcoming and professional atmosphere for visitors while proactively addressing their needs.

YOU HAVE

  • Previous experience in administrative, office management, or sales support roles.
  • Strong proficiency in Microsoft Office, particularly Excel, with familiarity with formulas like VLOOKUP and advanced data formatting.
  • Fluent communication skills in both English and Finnish, written and spoken.
  • An interest in the outdoor industry – a plus!
